USRSociety – frequently asked questions

Why should I attend a USRS conference?

USRS conferences give you an international platform to present your research, network with peers, meet industry experts and receive a certificate of participation and presentation.

Will my paper be published?

Accepted and registered papers are published in the USRS conference proceedings with an ISBN. Extended versions of selected papers can be submitted to associated international journals, including journals indexed in Scopus, Web of Science or Google Scholar, on the author's written request. The journal reviews the paper and decides on acceptance, and the author pays the journal's publication cost.

What is the peer-review process?

Every submission is checked with plagiarism detection software and reviewed by two internal or external USRS reviewers. Acceptance is based on originality, relevance, methodology, technical quality and contribution to the field.

How long does it take to receive acceptance or rejection?

Authors are generally notified within one to two weeks after submission.

Can I present online if I cannot travel?

Yes. USRS offers both physical and virtual presentation options. Online presenters present live by video conference for up to 10 minutes; choose the online attendee fee when you register.

How long is an oral presentation?

Oral presentations are 15 minutes long, including 5 minutes for questions and discussion. The paper must be presented by one of its authors or co-authors.

How can I get an invitation letter for my visa?

Invitation letters are issued by email to registered authors, delegates and participants after payment confirmation. Send the registration form, payment proof, a passport-size photo and a passport scan to [email protected]. The visa process usually takes about one month, so apply early. Only the embassy or consulate decides on the visa.

What is the refund policy?

Registration fees are not refunded if a participant cancels, cannot attend, arrives after the reporting time or is refused a visa. If USRS cancels or reschedules an event, you receive a credit for 100% of the registration fee, valid for another USRS event within one year. See the rules and regulations for details.

When can I get the receipt for the registration fee?

The receipt is issued at the conference registration desk for physical conferences, or by email for hybrid and virtual conferences.

What are the registration fees?

Fees depend on the participant category (academician, student, listener or online attendee) and on the country of the conference. The fee table is on the registration page of each conference. Students pay lower fees.

Can one registration cover more than one paper?

No. Each accepted paper needs its own registration. An author with more than one paper in the same conference pays 50% of the fee for each additional paper.

Can I present without publishing a full paper?

Yes. You can present an abstract or a poster without publishing a full paper, which suits preliminary findings or ongoing work. Abstracts and posters are included in the conference programme and presenters receive a certificate. Only full papers are considered for the proceedings and journals.

Is hybrid attendance possible?

Depending on the conference, participants can choose between in-person and online participation.

Will I receive a certificate?

Yes. Certificates of participation and presentation are issued to all eligible attendees.

Are there awards?

Yes. USRS conferences have Best Presentation, Young Scientist, Best Paper and Best Poster awards, and outstanding papers may be invited to submit extended versions to partner journals.

Are meals included in the registration?

Yes. The registration includes coffee breaks and lunch on the presentation day for registered participants.

What facilities are available at the venue?

Conference venues have Wi-Fi and audio-visual presentation facilities. A computer with Windows and PowerPoint is available in the session room, or you can use your own laptop.

Is support available for differently-abled participants?

Yes. Please tell us in advance; assistance at the venue is arranged on request, subject to availability.

Can USRS arrange accommodation and travel?

Participants arrange their own accommodation and travel. On request, USRS may help to arrange suitable accommodation and travel services, subject to availability; any costs are charged at the service provider's rates. Do not book tickets or hotels before you receive the conference schedule mail.

Where can I find local travel information?

Information on nearby airports, transport, hotels and local attractions is shared with registered participants on request.

Why was my physical conference changed to a virtual conference?

In exceptional cases, such as travel restrictions, public health concerns, venue limitations, too few physical participants or other logistical problems, a conference may be held online. Participants are informed promptly, and registration, certificates, proceedings and publication opportunities are not affected.

Are there workshops or networking sessions?

Yes. USRS conferences include networking sessions and discussions that encourage collaboration between researchers, academicians, industry professionals and institutions.

How can I become a member of USRS?

Send your resume and a short note about your research interests to [email protected]. Your application is processed within three working days.

Is USRS a genuine conference organiser?

USRS is an independent body that organises academic conferences where researchers, academicians and professionals present their work. Submissions are reviewed, registered papers are published in the conference proceedings, and the rules, fees and publication terms are published on this website. Participants are responsible for their own travel and visa arrangements; USRS provides official invitation letters.
